NAWA ORKA Chatbot Privacy Policy
The NAWA ORKA Chatbot Privacy Policy sets out the rules for the processing of personal data by ORKA and complies with Regulation (EU) 2016/679 of the European Parliament and of the Council (EU) 2016/679 of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 94/46/EC (hereinafter referred to as "GDPR") with regard to the processing of personal data.
The National Agency for Academic Exchange (hereinafter: "NAWA" or "Agency") has made every effort not to collect any information about ORKA Chatbot Users that could lead to their unambiguous identification and asks Users not to disclose such information during conversations. Posting any information in the chat window that may constitute personal data within the meaning of the GDPR constitutes the User's voluntary consent to its processing by NAWA. In this case:
- The controller of the User's data will be:
National Agency for Academic Exchange, ul. Polna 40, 00-635 Warsaw (hereinafter "NAWA").
- Scope of data processing
The NAWA ORKA chatbot does not automatically collect any information about the User's device that would allow them to be uniquely identified as a natural person. The chatbot can only obtain information that the User voluntarily enters in the chatbot window and confirms by pressing the "enter" button to send it to the ORKA memory.
- Legal basis for data processing
If the ORKA Chatbot User decides to provide any information during interaction with the chatbot that could lead to their unambiguous identification, the processing of this information will be based on the User's voluntary consent (Article 6(1)(a) of the GDPR). Consent to the processing of data provided in this way may be revoked at any time. To do so, please contact the NAWA Data Protection Officer.
- Purpose of data processing
NAWA does not have a purpose for processing the personal data of ORKA Chatbot Users; please do not include such data in your conversation with the Chatbot.
- Data retention period
By selecting the "Clear the conversation" option, the User will not transfer the content of the conversation to ORKA's memory. If the conversation window is closed without selecting this option, the conversation history will be deleted from ORKA's memory after a maximum of 24 hours.
The storage of the conversation history for a maximum of 24 hours after the end of the conversation is solely for the purpose of verifying the correct operation of the ORKA Chatbot and its evaluation, as well as defining the topics of interest to Chatbot users by NAWA.
The information contained in the conversations is not used in the automatic learning process of the ORKA Chatbot.
- Data transfer and profiling:
Information posted by the User will be processed exclusively within the EU.
The information will not be processed for the purposes of automated decision-making or profiling of the User.
- The ORKA Chatbot does not use cookies.
- In connection with the processing of their data, the User has the right to:
a. access their data,
b. rectify the data,
c. erasure of data,
d. restriction of data processing,
e. transfer of data to another specified entity,
f. object to data processing,
g. the right to withdraw consent (when consent is the basis for processing).
