ATTENTION! Due to the large amount of applications:

- NAWA does not respond to inquiries regarding the status of the case before the term of 30 days from the date of receipt and registration of the documents. 
The date of delivery of the application to NAWA can be checked independently/ self-dependently on the website of Poczta Polska or the courier company, depending on the chosen method of sending the documents;

- In exceptional cases, the time during which your documents are verified and certified may be prolonged and, therefore, exceed the period of 30 days indicated below.

 

Before submitting the application form:

  1. prepare the documents for the authentication/apostille certification;
    (Scans or photocopies are not acceptable!)

  2. check which procedure is required in the country where you wish to present the certified documents;

  3. select the relevant electronic application form and fill it in:

    • after you fill in the application form, print it out,

    • read the document concerning the General Data Protection Regulation,

    • insert date and sign the form;

      Note that:

      - the first part of the form must contain the name and contact details of the documents’ holder,

      - the form must be signed in blue ink pen by the documents' holder,

      - an authorised representative may sign the form only if an authorization letter will be submitted in the original or as the notarial copy of the power of attorney.

        The power of attorney may be drawn up in Polish or English.
        Note that the first part of the form (Information about the documents’ holder) must contain the name and contact details of the documents’ holder.

      -
      documents authenticated in NAWA must be later legalized in the Ministry of Foreign Affairs;


  4. pay the fee into the relevant account in the amount corresponding to the number of submitted documents;

    - if you pay in a currency other than PLN, check the exchange rates of the National Bank of Poland (NBP);

    It is not possible to make the payment in cash in the NAWA’s office.

    Sending the fee in an envelope along with the application form is not possible either. In such a situation the application is not processed, whereas the payment is returned by post office transfer after deducting the transfer costs.

  5. print out the payment confirmation;

  6. submit the documents in the NAWA’s Welcome Centre (the required documents are: application form, payment confirmation and documents submitted for certification);

    Documents may be submitted:
    • in person by the documents' holder,
    • by other person (the notarial authorisation is not required in order to submit documents),
    • by post or courier to the address given below:

    The NAWA’s Welcome Centre is open from Monday to Friday between 8:30 a.m. and 4:30 p.m..
    In order to submit the documents, you do not have to make an appointment.


    Note,
    It is not possible to verify at the Welcome Centre desk whether your documents can be certified. If anything is missing, you or your authorised representative will be informed about the fact via email.


    Applications are verified and processed within 30 days from the moment of submission and registration of a complete set of documents in the NAWA’s office.
    Applications are verified in accordance with the order in which they are registered.
    In exceptional cases the 30 days’ time limit for the verification may be prolonged.


    If you send the documents by post or by courier the exact time of the delivery may be checked on a relevant website of the company providing the service.  

    We do not respond to inquiries regarding the status of the case if the 30 days’ deadline has not been reached. The time limit is counted from the date when documents are registered.
    After the deadline, the status may be verified individually by sending an email to This email address is being protected from spambots. You need JavaScript enabled to view it..
    In the email indicate the name and surname of the documents’ holder as well as the submission date.

     

    Delivery of certified documents

    If in the application form you indicate that you want to collect the certified documents in person or that another person does it on your behalf, as soon as the documents are certified, we will send you an email with the proposed collection date and time.

    If another person collecting the documents is not mentioned in the application form beforehand, they will have to present a written authorisation in order to receive the documents. Scans or photocopies are not accepted.

    It is required to present an ID card while collecting the documents.


    If the documents are not collected within 7 days from the proposed collection date, they will be sent by registered letter to the address indicated in the application form. In the case of citizens of countries other than a European Union country, Iceland, Liechtenstein, Norway and Switzerland, the documents will be sent to the address of the indicated authorised person.

    If you want your documents to be delivered by traditional mail, as soon as they are certified, we will sent them to the indicated address by registered letter with the confirmation of receipt.

     Note:

    documents can only be sent to a European Union country, Iceland, Liechtenstein, Norway and Switzerland.
    Otherwise, it will be necessary to provide the address of a person authorised to collect the certified documents in Poland.
